For either of the processes that follow the qualification – the document search or the citizenship procedure, we require a signed hardcopy of our permission to represent you in Poland in the tasks related to our work only. We will prepare the form for you. Polish governmental institutions require this as a legal basis for requesting the documents and processing of your paperwork for the citizenship procedure.
This task is only in place if you do not have Polish documents of your own. Examples of the documents we aim for are: old passports or IDs, population censuses, domicile lists, voters lists, military draftees/conscript lists, other military documents, tax or property records, notary documents (deeds). The documents that do not prove citizenship of Poland are: school records, vital records (birth/marriage/death records), memorabilia, medals, association cards or IDs. The documents need to be originals or Polish certified copies, with physical authentication, coming from the government of Poland – central or provincial. Scans, pictures, xerox copies, and photocopies are not accepted.
We will conduct searches in the State Archives, Registry Offices and other institutions that could hold documents confirming your family’s Polish status. We are aiming for the documents outlined in the paragraph above. No action will be required on your side in this step. If you encounter a new piece of information that might be relevant to the search (like a new place to look into), please forward it at earliest convenience.
We will provide you with the list of what is required, along with all the guidelines and examples of the documents, that come from outside of Poland (the country you live in and/or the countries your ancestors lived between their time in Poland and your current country of living). We are available all the time, aiding you with our experience and knowledge of the matter. We can also recommend partners who can assist you with getting the documents required. The documents required are mostly birth (long-form) and marriage certificates proving the lineage, in some cases also the immigration, naturalization and military documents confirming in paper the facts established during our initial step – free eligiblity check. The documents need to be hardcopies with physical authentication like wet signature/stamp/raised seal/embossed seal/watermark and come from the government or it’s institutions.
Once the documents are with us, we pass the non-Polish ones to translation by a sworn translator approved by the Ministry of Justice in Poland. This way, the translations can be used for legal procedures. The originals are made into Polish notary copies, thanks to which we will be able to return those to you after the process ends. This step is usually completed within 1 to 2 weeks from the moment we receive the documents, based on the volume of those. No action will be required on your side – we will take it from here!
Once the translations and notary copies are with us, we file the motions with the authorities here in Poland. We file the confirmation of citizenship application to the Provincial Office (in most cases, Warsaw) and register your birth, marriage and name change at the same time at the local Registry Office. The registration of birth and marriage in Poland, handled by the Registry Office, is very swift – the results are with us in a month, tops two. Citizenship is the hardest part. With thousands of applications now filed every year, and the short staff at Warsaw’s Provincial Office, the waiting time grew over the years from 6 months to closely 2 years. As of May 2026, the government cites the delay as being 20 months. There is no way of expediting the process or asking for special treatment, the only factor the government takes into account is when they received the application. The case signature number is usually available within 40 days from posting.
So the well-deserved day came – you are now officially confirmed as a citizen of Poland! Congratulations!
We will present you with the screenshot or scan of the citizenship certificate, proving the process is now complete. If you had a name change in the past, now it’s the time for us to change your name in Poland accordingly. Please note we couldn’t do it before; you had to be confirmed a citizen first.
We will prepare a package for you – containing your citizenship certificate (original), your Polish birth and marriage certificates, your pre-filled passport and PESEL forms. Please note that the last two items are provided just in case, as the majority of Polish consulates have now switched to electronic paperwork. We provide those only to be safe and sound in every possible scenario. We will also now return the documents you initially sent to us. The package is sent with a courier firm.
Once you receive the package from us, schedule an appointment with the Polish Consulate General or Embassy of Poland for a first passport + PESEL visit. Do not use the “e-konsulat” platform despite the recommendations, as for those, you first need to have a PESEL number – which you don’t have yet. PESEL is the personal ID number used in Poland, similar to the US’s SSN, but with fewer powers. Preferably, for scheduling, use the email or phone number of the consulate, as their online platforms still (after all those years!) lack flexibility as to those after-confirmation appointments. Less besieged consulates should have free appointments for closer dates, but the biggest ones might only have an opening after several weeks. You will need to bring: the contents of the package you received from us (Polish vital records, citizenship certificate, PESEL/passport forms), on top of that, your valid non-Polish ID, your current photo (35x45mm size, no older than 6 months), and pay for the passport itself at the cashier at the consulate; the fee is approx. 100 USD for one adult passport valid for 10 years. The personal visit is a must, the authorities need to verify your identity and collect your fingerprints for the biometric EU passport.
After 1 to 4 weeks (depending on whether it is a vacation season) your passport will be ready and you need to come for a second visit to collect it. Some consulates, since the COVID lockdowns, allow mailing of the passport to your address but you will need to authorize them to do so, and pay for the shipping fees.
You will never have to do the process again! When your passport expires, you just schedule a visit to renew it. For information about children born / name changes / marriages or divorces that happened after your confirmation, contact us, and we will help.
